An AI tool evaluation should start with a clear understanding of the material being uploaded. This practical guide is for busy professionals reducing routine administrative work preparing a small software trial. It is a workflow checklist, not a legal opinion.
An original planning guide. Suggested tests are not completed benchmarks. Product references were checked on October 4, 2026.
Classify the input
For a repeatable training narration, identify names, recordings, unpublished material, customer information, and any confidential detail. For a routine information check, check whether the input belongs to you or another party. Use synthetic or non-sensitive material for the first trial whenever it can answer the same workflow question.
Check permission and access
Confirm that people whose recordings or work are involved understand the intended use. Read the provider’s current data terms and identify who can access a workspace or shared link. Do not assume that a public-facing feature uses the same retention or training settings as an enterprise plan.
Review storage and deletion
Check retention, deletion controls, exports, connected accounts, and integration permissions. Remove access that is unnecessary for the trial. Keep an inventory of where original and generated material is saved, and verify what a deletion request actually removes before relying on it.
Set the human approval point
Decide who approves the final use in day-to-day assistance. Keep sensitive decisions out of unattended handoffs. If policy questions remain unresolved, pause that particular upload and use a manual route. Documenting the boundary helps you evaluate the tool without expanding the trial beyond its original purpose.
